What does a retail ERP do, and how is it different from a POS?
A retail ERP is the management platform behind the shops: it keeps track of products, stock per store, purchasing, suppliers, customers and cash flow, and turns sales into decisions about what to reorder and where to move stock. It is not a till. Sales are still registered in the certified POS and invoicing software your stores already use, and the ERP connects to it to receive those sales and keep stock and figures up to date.
That split matters in Portugal, where point-of-sale and invoicing software must be certified by the tax authority. Keeping the certified POS at the counter and adding a tailor-made management layer behind it avoids replacing a system that works, while giving head office the overview a POS does not offer.
What the platform covers for multi-store retail
- Products: item lists, categories, purchase and sales prices, minimum and maximum stock levels and expiry dates.
- Stock per store and warehouse: current and total stock per location, down to shelf and bin.
- Transfers between stores: stock moves from the shop with too much to the shop running low, with every transfer recorded.
- QR stock counts: staff scan shelves and items with a phone to count stock quickly and correct differences.
- Suppliers and purchasing: sources, purchase prices, supplier ratings and orders based on actual sales and stock levels.
- Customers: purchase history, favourite categories and revenue per customer, as a basis for loyalty and targeted offers.
- Cash flow and results: revenue, costs and profit or loss per store and for the business as a whole.
How we build it
A group of delicatessens, a chain of fashion boutiques and a hardware store with a webshop each count and replenish stock differently. We build the platform around your own workflow and terminology instead of forcing a standard package on the team. It connects through APIs to the certified POS, invoicing and accounting software your company already uses, and to your webshop if you have one. Live dashboards show sales, stock value and margin per store. The platform is designed, built and supported by our team in Sintra, Portugal.
