What should a pharma and cosmetics ERP cover?
A pharma and cosmetics ERP is a management platform that ties each production batch to its formulation, the exact material lots used and the checks performed before release. For manufacturers of creams, liquids, powders or supplements, it replaces paper batch sheets and separate spreadsheets with one record per batch that can be traced from raw material to customer.
Formulations and batch records
Formulations can be stored with versions, ingredients, percentages and scaling rules, so a batch of any size is calculated from the approved formula. During dispensing, operators weigh each material against the batch order and the platform records the material lot, the quantity and who weighed it. Production steps, mixing parameters and in-process checks are added to the electronic batch record as the work progresses. Deviations and comments are stored with the batch rather than in a separate notebook.
Quality control and batch release
Quality control can include:
- Specifications per raw material and finished product, with results entered per test.
- A quarantine status for incoming materials and finished batches until quality has approved them.
- A release step where the responsible person reviews the batch record and approves or rejects the batch.
- Certificates of analysis and supplier documents stored with the relevant lot.
After release, filling and packaging are recorded per batch: packaging material lots, quantities filled, labels with batch number and expiry date. Shelf life tracking and FEFO stock rotation help keep expired stock low, and a lot can be traced forward to customers or back to suppliers when a question comes up. The platform supports the manufacturer's own quality procedures; those procedures and the regulatory responsibility stay with the manufacturer.
How we build it
Each platform is built around the manufacturer's own workflow, documents and terminology, whether that is a cosmetics lab, a supplement producer or a contract manufacturer. It connects through APIs to the accounting and certified invoicing software already in use, and live dashboards show batches in progress, batches awaiting release and stock close to expiry. The platform is designed, built and supported by our team in Sintra.
