What does a rental ERP need to handle?
A rental ERP is the system that tracks which items are available, who has booked them, under which contract terms and in what condition they come back. It links the availability calendar, bookings, deposits, invoicing and maintenance, so the same asset is never promised twice and every rental period is billed. For a rental or service company, it replaces the mix of spreadsheets, paper check-out forms and a separate invoicing tool.
From booking to return
Rental work follows a fixed rhythm, and the platform is built around it:
- Availability calendar: every item or fleet group shows when it is out, reserved, in maintenance or free, so the team can answer a quote request on the spot.
- Bookings and contracts: a booking becomes a contract with the products, the work included, the rental periods and the payment terms agreed with the customer.
- Deposits: deposits or guarantees are recorded per contract and released or offset when the item comes back.
- Check-out and check-in: staff register each handover on a phone or tablet, with condition photos, meter readings and a signature, so damage and missing accessories are documented at both ends.
- Maintenance between rentals: returned items can be blocked for cleaning, inspection or repair before they show as available again, with the cost logged against the item.
- Automatic billing: periodic invoices are issued for long-running contracts, and expiring contracts are flagged in time to extend or collect.
Measuring each contract and each asset
Because work logs, repairs, errors and invoices all sit on the same contract, the platform can show the profit or loss of every service and the utilisation of every asset. That makes it easier to see which equipment earns its place, which needs replacing and where idle stock ties up capital. Renting instead of owning already keeps assets in use for longer; good planning keeps them out of the depot and with customers.
How we build it
We build each rental platform around your own workflow, item types and terminology rather than a generic template. It connects through APIs to the certified invoicing or accounting software you already use, and to tools such as the booking form on your website or your email. Live dashboards show availability, revenue and overdue returns at a glance. The platform is designed, built and supported by our team in Sintra, so you talk directly to the people who know your system.
